Trip Planning Process

Faculty members, campus staff, or group advisors who would like to lead students on an off campus trip during the school year or summer, should follow these steps to get started in the process.

1. Read and review the Off-Campus Activity & Travel Guide on preparations needed for various types of trips.

2. Visit with Julie Johnston Hermann if you have questions on what is needed to move forward in offering a trip.

3. Complete a Proposed Trip Plan and Trip Funding Plan for your intended international or domestic trip.

  • Planning should start at least 18 months in advance of anticipated travel dates.
  • Check out this Leader Check List for details to anticipate in planning international travel
  • When you are ready to start a plan, follow the   International Trip Plan Instructions
  • Leaders must complete Ia Proposed Trip Plan and a Trip Funding Plan prior to spring budget deadline.   
  • Planning should take place the summer prior to the school year that the trip would be offered.

  • When you are ready to start a plan, follow the Domestic Trip Plan Instructions
  • Leaders must complete a Proposed Trip Plan and a Trip Funding Plan (if needed) prior to spring budget deadline.  
Information shared in these plans will enable campus offices to provide administrative guidance needed for a safe and well-planned experience for students. Information will also be used to build an online brochure on this travel management site for participant registration.
 
4. Follow the Leader Check List (provided above) for your trip - contact Julie on next step travel details needed for your specific travel situation.

5. Julie will provide instructions for your trip participants to register their participation agreement, emergency contact, medical information, and insurance coverage on this travel management site. 

6. Trip leaders must return to their trip registration to complete Trip Final Details before departure.
